Refund Policy

This Refund Policy ("Policy") governs all fees and online payments collected by Bihar Public School ("the School", "we", "us") through its official website and payment gateway partners. By making any payment to the School, you ("Parent", "Guardian", "Student", "Payer") agree to be bound by this Policy.
1. General Position on Refunds
All fees paid to the School — including but not limited to admission fee, registration fee, tuition fee, examination fee, transport fee, hostel fee, security / caution money, and any other recurring or one-time charges — are earmarked in advance for the academic, operational and infrastructural expenses of the School and are generally non-refundable, except in the limited circumstances expressly set out in this Policy.
2. Cases in Which a Refund May Be Considered
A refund request will be reviewed by the School's Accounts department only in the following situations:
- (a) Duplicate Payment. The same fee head has been paid more than once for the same student in the same billing cycle on account of a payer error, browser retry or technical glitch.
- (b) Excess Payment. An amount higher than the demand raised by the School has been collected due to an incorrect amount entered by the payer or due to a configuration error at the School's end.
- (c) Failed Transaction with Amount Debited. The online payment failed but the amount was debited from the payer's bank account and was not credited to the School's merchant account. Such transactions are ordinarily auto-reversed by the issuing bank or payment gateway within 5-7 working days. If the reversal does not happen within that window, please contact us.
- (d) Withdrawal Before Session Start. Refund of tuition fee may be considered on a case-by-case basis if a written withdrawal request is submitted before the commencement of the academic session, and only in accordance with the School's prevailing withdrawal policy. Admission fee, registration fee and other one-time charges remain non-refundable.
- (e) Service Not Rendered. Where a service-linked fee (e.g., transport, hostel, optional activity) has been paid but the corresponding service has not been availed at all due to reasons attributable solely to the School, a proportionate refund may be considered.
3. Charges That Are Strictly Non-Refundable
- Admission Fee, Registration Fee, Prospectus Fee.
- Examination Fee, once the examination has been conducted.
- Examination / certification fees payable to external bodies (CBSE / ICSE / State Board / Council, etc.).
- Payment gateway charges, convenience fee, GST and any other statutory levies.
- Caution money / security deposit — refundable only at the time the student permanently leaves the institution and after adjustment of dues, as per the School's policy.
4. How to Request a Refund
- The Parent / Guardian must submit a written refund request, addressed to the Principal / Accounts Officer, either at the School office or by email to bpssiwan@gmail.com.
- The request must enclose: (i) the transaction ID / payment receipt, (ii) the student's name, class and registration number, (iii) the reason for the refund, and (iv) a copy of the bank statement clearly showing the disputed debit (only for failed-transaction cases).
- The Accounts department will acknowledge the request within 3 working days and complete its review within 7-10 working days.
- If approved, the refund will be processed strictly to the original source of payment (i.e., to the same bank account / debit card / credit card / UPI ID that was used to make the payment). The School does not process refunds in cash or to a third-party account.
- The refunded amount is ordinarily credited within 7-14 working days from the date of approval, subject to the processing timelines of the issuing bank, card network and / or payment gateway. The School is not liable for delays attributable to such third parties.
5. Failed / Pending Transactions
If your account has been debited but the School's receipt has not been generated, please wait at least 24 hours for the gateway's automatic reconciliation. If the amount is still not refunded or the receipt is not generated within 7 working days, write to us with the transaction reference number and a copy of the bank debit message and we will coordinate with the gateway for resolution.
6. Chargebacks
If a chargeback / dispute is raised through the issuing bank without first attempting to resolve the matter directly with the School, the School reserves the right to contest the chargeback and recover the chargeback fee from the payer.
7. Right to Amend
The School reserves the right to revise, amend or supplement this Policy at any time without prior notice. The version of the Policy in force on the date of the payment shall apply to that payment. The current version is always available on this page.

9. Governing Law & Jurisdiction
This Policy is governed by and construed in accordance with the laws of the Republic of India. Any dispute arising out of or in connection with this Policy shall be subject to the exclusive jurisdiction of the courts at the city where the School is registered.
